Process Module - Results
Overview
The Results section is the operational hub for managing procedures, inspections, exceptions, and supporting data within the Process module. When you first access Process, you land on the Results page, which provides four main components that work together to ensure critical procedures are documented, followed, and audited for compliance.
The Four Components
Procedures - Standard operating procedures (SOPs) that document how work should be performed in your organization, with particular focus on safety-critical procedures like LOTO (Lockout/Tagout), work permits, Job Hazard Analyses (JHAs), and other work authorization documents. These are the documented steps, requirements, and best practices that define compliant execution across your operations.
Dynamic Lists - Reusable task sequences and step-by-step lists that can be inserted into procedures. These capture tasks that need to be completed in specific orders (such as equipment isolation steps, atmospheric reading schedules, or routine checkpoints) to save time and ensure consistency across similar work activities.
Inspections - Compliance audits or verifications of procedures in action. An inspection represents a specific audit event where you verify that a procedure was executed correctly, following all documented steps and requirements. Inspections provide the evidence that procedures are being followed.
Exceptions - Tasks, issues, or deviations identified during procedure inspections or execution that require corrective action. Exceptions flag non-compliance, safety concerns, or deviations that need follow-up. They include priority levels, due dates, status tracking, assigned owners, and locations for managing corrective actions.
Accessing the Results Page
Navigate to the Results section from the Process module navigation bar. You'll see four tabs: Procedures, Dynamic Lists, Inspections, and Exceptions. Click the tabs to switch between sections.
Procedures Tab
The Procedures tab displays all procedures created in your system. In the Process module, "procedure" is an umbrella term for various types of work authorization and documentation—including work permits (hot work, confined space, excavation), Lockout/Tagout (LOTO) sequences, Job Hazard Analyses (JHA), Standard Operating Procedures (SOP), and other safety-critical work documents.
Key Controls
New (+) - Create a new procedure from a template
Completed - Filter to show only completed procedures (finalized and available for use)
Draft - Filter to show only procedures in draft status (work in progress)
Generate CSV - Export the procedure list to CSV format for external analysis or reporting
Preferences - Customize which columns are displayed in the procedures table
Procedures List Columns
The procedures list displays key information about each record:
- ID - Unique procedure identifier
- Resources - Visual thumbnail or icon representing the procedure
- Status - Current state (Draft or Completed)
- Template - The template used to create this procedure
- Location - Where this procedure applies
- Description - Summary of what this procedure covers
- Owner - Person responsible for the procedure
- Creator - Person who created the procedure
- Created - Date the procedure was created
Additional columns can be added using the + Col button:
- Completed - Date the procedure was completed
- Barcode - Barcode identifier for the procedure
- External Asset ID - External asset identifier
- Location Comment - Additional location notes
Each procedure record has action icons at the far right:
- Link icon - Generate a public link to this record
- Envelope icon - Notify users for this record
- Trash icon - Remove this record
Click on a procedure description to view full details or edit it.
Creating a New Procedure
Procedures are created from templates configured by administrators in the Administration tab. Templates define the structure and fields for different procedure types such as LOTO sequences, work permits, and JHAs.
To create a new procedure:
- Click the New (+) dropdown
- Select the appropriate template
- Enter the corresponding location
- Enter a description that identifies this specific procedure instance (e.g., "HVAC Repair Unit 1200," "Confined Space Entry - Tank 5," "Hot Work - Building 100")
- Click Start Procedure
The procedure is created in draft status until you complete and submit it. If you don't complete the procedure immediately, you can find it later in the Draft filter to continue working on it.
Viewing Completed vs. Draft Procedures
Use the Completed and Draft toggle filters to switch between finalized procedures and works in progress. Drafts are working versions not yet ready for use. Once a procedure is finished, complete it so it appears in the completed list.
Editing a Procedure
To edit a completed procedure:
- Find the completed procedure in the list
- Click the procedure name to open it
- Click the Edit button next to the specific field you want to change
- Make your changes
- Save your changes
All changes to completed procedures are tracked in the version history.
To edit a draft procedure:
- Find the draft procedure in the list
- Click the procedure name to open it
- Make your changes to the procedure definition
- Save your changes
Completing a Procedure
Procedures start in draft mode and must be completed before general use.
- Open the procedure details screen
- Click Complete Procedure
- The system validates that all required fields are filled
- Status changes to completed and the procedure becomes available
Deleting a Procedure
- Find the procedure in the list
- Click the delete icon (trash can)
- Confirm the deletion when prompted
You can only delete procedures you own or have permission to delete.
Exporting Procedure Data
Export procedure data to CSV format for external analysis, reporting, or backup:
- Click Generate CSV on the Procedures tab
- Select the export format:
* Procedure Level Detail
* Question Level Detail
* Hazard Information Level Detail - The system generates the CSV file and emails it to you
- Open it in a spreadsheet application for analysis
Viewing Related Inspections and Exceptions
When you create inspections or exceptions as part of a procedure, those records also appear in their respective tabs within the Process module.
Inspections created from procedures:
- Appear in both the procedure details AND the Inspections tab
- Can be managed from either location
- Link back to the originating procedure
Exceptions created from procedures:
- Appear in both the procedure details AND the Exceptions tab
- Can be tracked and resolved from either location
- Maintain the connection to the originating procedure
This provides flexibility in how you manage and track compliance activities. You can view procedure-specific inspections and exceptions within the procedure itself, or you can view all inspections and exceptions across all procedures using their dedicated tabs.
Dynamic Lists Tab
The Dynamic Lists tab shows all reusable task sequences and step-by-step lists available for use in your procedures. Dynamic Lists capture tasks that need to be completed in specific orders—rather than manually entering repetitive steps each time, you can insert pre-built lists into procedures to save time and ensure consistency.
Key Controls
New (+) - Create a new dynamic list
Records - View individual records within a selected dynamic list
Templates - View available templates for creating new dynamic lists
Quick Filters - Apply pre-built filters to narrow down the list:
- My Lists - Shows only dynamic lists you created or own
- My Templates - Shows only dynamic list templates you created or own
Dynamic Lists Columns
- ID - Unique list identifier
- Name - The name of the dynamic list
- Created - Date the list was created
- Procedure - The procedure this list is associated with
How Dynamic Lists Work
Dynamic Lists ensure consistency across similar work activities:
- Pre-build commonly used lists and save them to your library using the Dynamic Lists tab
- When filling out a procedure, use the Dynamic Lists section within the procedure form to insert the appropriate list (using options like "Add List" or "Add Item")
- Edit the list within the procedure if needed for the specific job
- Reuse the list across multiple procedures to maintain standardization
Common use cases include energy isolation sequences (like turning off and locking out specific energy sources in the correct order), fall protection equipment checklists, hazard identification templates, atmospheric reading schedules for confined spaces, entrant/attendant logs, and routine inspection checkpoints—any task sequence that needs to be completed in a specific order to ensure safety and compliance.
Inspections Tab
The Inspections tab shows all inspections that have been scheduled or are in progress. Inspections are executions or instances of procedures being performed—the actual audit events where you verify procedures are being followed correctly.
Note: Checklists available in the Process module are specific to Process and separate from those in the Inspect module. Each module maintains its own library of inspection templates.
Key Controls
New (+) - Create a new inspection by selecting a procedure and defining the inspection schedule
Completed - Filter to show only completed inspections
Due - Filter to show inspections that are due or overdue
Quick Filters - Apply pre-built filters to quickly narrow down the inspection list:
- My Completed - Shows only inspections you own that are completed
- My Drafts - Shows only inspections you own that are not submitted
- Completed Past 7 Days - View recent completions
- Weekly - Inspections created on a weekly cadence
- Yearly - Inspections created on a yearly cadence
- Ad Hoc - Inspections created using the New (+) feature
- Due Next 7 Days - Upcoming inspections that need your attention
Generate - Export inspection data in CSV format:
- Inspection Level Detail (CSV)
- Question Level Detail (CSV)
Bulk Edit - Perform actions on multiple inspections at once:
- Change Inspection Properties - Modify Location, Owner, Inspector, or New Completion Date
- Create Exception - Generate exceptions for selected inspections with fields for Description, Additional Information, Location, Owner, Open Date, Due Date, Priority, Status, and Classification
Inspections List Columns
The inspection list displays key information about each record:
- ID - Unique inspection identifier
- Status - Current state of the inspection (Completed, Due, etc.)
- Checklist - The template used for this inspection
- Location - Where the inspection was conducted
- Description - Notes differentiating this inspection from others
- Frequency - How often the inspection occurs (Ad Hoc, Weekly, Yearly, etc.)
- Inspector - Who completed the inspection
- Owner - Person responsible for the inspection (can differ from creator)
- Creator - The administrator who created the inspection
- Completed - The date the inspection was completed
- Created - The date the inspection record was created
- Start - Start date for scheduled inspections
- Due - Target completion date for scheduled inspections
Click on an inspection to view full details or edit it.
Creating a New Inspection
- Click the New (+) button
- Select a Checklist - Choose from available inspection templates (these are specific to the Process module)
- Select a Location - Specify where the inspection is taking place
- Select a Procedure (optional) - Link this inspection to a specific procedure if you're verifying procedure compliance
- Click Start Inspection
You'll be taken to the inspection form where you can answer questions and document findings.
The Procedure field allows you to associate the inspection with a specific procedure document (permit, LOTO sequence, JHA, etc.) when you're conducting a compliance audit. This is optional—not all inspections need to be tied to procedures.
Working with Bulk Actions
The Bulk Actions feature enables you to make changes to multiple inspections at once:
- Select the checkboxes next to the inspections you want to modify
- Click the Bulk Edit button
- Choose the action you want to perform:
* Change Inspection Properties - Update the following for all selected inspections:- Location
- Owner
- Inspector
- New Completion Date
- Create Exception - Generate exceptions for all selected inspections with customizable fields:
- Description
- Additional Information
- Location
- Owner
- Open Date
- Due Date
- Priority
- Status
- Classification
- Fill in the required fields for your chosen action
- Click Save to apply your changes
Pro Tip: Use bulk actions to efficiently manage large groups of inspections that need the same change.
Exceptions Tab
The Exceptions tab shows all exceptions raised during procedure execution. Exceptions track issues, problems, or deviations that occur and need to be resolved.
Key Controls
New (+) - Create a new exception manually (standalone, not tied to a specific inspection)
Open - Filter to show exceptions that are not yet resolved (includes Open, Deferred, and In Progress statuses)
Closed - Filter to show only exceptions that have been resolved
Bulk Actions - Perform actions on multiple exceptions at once:
- Generate CSV - Export selected exceptions to CSV format
- Generate PDF Report - Create a PDF report of selected exceptions
- Bulk Edit - Change properties for multiple exceptions (Location, Owner, Open Date, Due Date, Priority, Status, Classifications)
- Group Exceptions - Organize multiple exceptions into a group for easier management
Exceptions List Columns
- ID - Unique exception identifier
- Resources - Visual thumbnail or icon representing the exception
- Description - Summary of the exception and what needs to be addressed
- Status - Current status (Open, Deferred, In Progress, or Closed)
- Priority - Urgency level (Immediate, High, Medium, or Low)
- Location - Physical or organizational location where the exception occurred
- Owner - Person responsible for resolving the exception
- Creator - Person who created or reported the exception
- Created - Date the exception was created
- Parent? - Indicates if this exception is linked to a parent exception or grouped with other exceptions
- Classifications - Categories or labels assigned to exceptions for organization and reporting purposes
Click on an exception description to view full details or edit it.
Working with Bulk Actions
The Bulk Actions feature enables you to perform operations on multiple exceptions at once:
To use Bulk Edit:
- Select the checkboxes next to the exceptions you want to modify
- Click Bulk Actions and select Bulk Edit
- Update any of the following fields:
* Location - Change where the exception is assigned
* Owner - Reassign to a different user
* Open Date - Adjust when the exception was opened
* Due Date - Change the target resolution date
* Priority - Update urgency level
* Status - Change the current state
* Classification - Modify categories (with option to overwrite existing classification values) - Click Save to apply your changes to all selected exceptions
To group exceptions:
- Select the checkboxes next to the exceptions you want to group
- Click Bulk Actions and select Group Exceptions
- In the "Create a Grouping of Exceptions" dialog:
* Step 1: Select which values from the selected exceptions to use for the new grouped exception (Description, Priority, Location, Status, Owner, Created By, Open Date, Due Date, Close Date)
* Step 2: Review any associated photos - Click Create Group to create the grouped exception
Managing Exceptions
Exceptions can have the following statuses:
- Open - Exception is newly created or reported and needs resolution
- Deferred - Exception has been postponed or delayed
- In Progress - Someone is actively working to resolve the exception
- Closed - The exception has been resolved
Creating a New Exception
To create a standalone exception (not tied to an inspection):
- Click the New (+) button
- Fill in the required fields:
* Description - What the exception is about (required)
* Location - Where the exception occurred (required) - The system automatically populates:
* Open Date - Set to the current date (editable if needed)
* Owner - Defaults to the user who creates the exception (editable if needed)
* Priority - Defaults to Medium (editable)
* Status - Defaults to Open (editable) - Optionally add:
* Additional Information - Extra context or notes about the exception
* Due Date - When the exception should be resolved by
* Classifications - Categories to organize the exception for reporting (configured by administrators in the Administration tab and vary by organization) - Click Create Record to create the exception
Note: Exceptions can also be created during procedure execution or inspections. Exceptions created during procedures or inspections automatically appear in this Exceptions tab for tracking and resolution.
Managing Exception Status
To change an exception's status:
- Find the exception in the list
- Click on it to view details
- Click the Status dropdown and select a new status (Open, Deferred, In Progress, or Closed)
- Add any notes or updates about the resolution
- Click Save to apply your changes
