Process Module - Administration

Overview

The Administration section is where you configure the core components that power your procedure management system. This is where administrators create procedure templates, build checklists for procedure steps, set up classifications for reporting, manage recommendations, and configure Dynamic Lists—the specialized task sequences used in procedures like LOTO (Lock-Out/Tag-Out), energy isolation, and other sequential work authorizations.

When you access Administration from the Process module navigation bar, you'll see options for seven main sections: Procedures, Checklists, Classifications, Recommendations, Dynamic Types, Dynamic List Status, and Attributes/Lists.

How These Components Work Together

These components create a cohesive procedure management system. You create procedure templates, checklists, classifications, and Dynamic List configurations as reusable building blocks. When creating procedures, users select a template, which determines the structure and required information. When executing procedures, users complete checklists and Dynamic Lists in sequence. Exceptions generated from procedures can be tagged with classifications for reporting and analysis.


Procedures

Procedure templates are reusable frameworks for work authorizations—permits, LOTO sequences, Job Hazard Analyses (JHAs), Standard Operating Procedures (SOPs), and other controlled work processes. When you build a procedure template in Administration, you're creating the standardized structure, sections, and questions that workers will see when they create and execute actual procedures in the Results section.

Think of procedure templates as the blueprint: you build the template once with all the required fields and questions, then users create individual procedure instances from that template whenever they need to perform that type of work.

Accessing the Procedures Page

From the main navigation, select Administration, then click Procedures. You'll see all procedure templates in your system organized in a table.

Key Controls

New (+) - Create a new procedure template.

Published / Draft - Toggle between viewing published templates (live and available to users) and draft templates (still being edited).

Search Name - Find a specific procedure template by entering its name.

Procedure Template List Columns

The Procedure Templates table displays key information about each template:

  • ID - Unique identifier for the procedure template
  • Name - The template title (clickable to open for viewing or editing)
  • Status - Whether the template is in Draft or Published state
  • Created - The date the template was created

Creating a New Procedure Template

To create a new procedure template:

  1. Click the New (+) button
  2. Enter the Procedure name—this should describe the type of procedure (e.g., "Hot Work Permit," "Confined Space Entry," "Pipeline LOTO Template")
  3. (Optional) Check Collect Question Coordinates if you want to capture GPS location data for questions answered during procedure execution
  4. Click Save

You'll now be taken to the Procedure Template Editor where you can add sections and questions to build out your template.

Procedure Template Editor

The template editor has two main tabs at the top:

  • Info - The main editing interface where you add sections and questions to build your procedure structure.
  • Conditionals - Where you configure conditional logic to show or hide sections based on answers to questions.

Additional Template Options

Once you've named and saved your template, you'll see additional options:

  • Set Default Template - Mark this template as the default choice when users create new procedures.
  • Clone Options - Create a copy of this template to use as a starting point for a similar procedure.
  • Collect Question Coordinates - Toggle to capture GPS location data when questions are answered during procedure execution.

Building Your Procedure Template

The procedure template editor is organized hierarchically:

Template Level - The top level where you can add sections.

Sections - Organizational groupings within a procedure. Sections help organize questions into logical categories (e.g., "Pre-Work Safety Checks," "Equipment Setup," "Post-Work Verification").

Questions - Individual items that workers will answer during procedure execution. Questions are contained within sections.

Adding Sections to a Template

Sections help organize your procedure into logical groupings. For example, a Hot Work Permit might have sections like "Fire Prevention," "Equipment Preparation," and "Post-Work Inspection."

To add a section:

  1. Click the (+) Section button
  2. Enter the Section Name (e.g., "Pre-Entry Checklist," "Energy Isolation Steps")
  3. Click Save

The new section now appears in your template editor, ready for questions to be added.

Adding Questions to a Section

Questions are the actual items that workers will answer when executing the procedure.

To add a question:

  1. Find the section where you want to add the question
  2. Click Add Question within that section
  3. In the Edit Question dialog, fill in the following fields:
    * Question Text - The question workers will see (e.g., "Are all energy sources identified?")
    * Question Type - Select the format for the answer (see available question types below)
    * Required - Check this box if the question must be answered before the procedure can be completed
    * Clonable - Select whether this question can be duplicated when cloning the procedure
    * Help Text (optional) - Additional guidance or instructions for answering the question
    * Help Photo (optional) - Upload an image to provide visual guidance
  4. Click Save

Available Question Types

When adding a question, you must select the format of the response. Here are the available question types:

  • Boolean - True/False or Yes/No questions
  • Text - A single line text input field for short alphanumeric responses
  • Textarea - A larger text box for longer text responses (allows entering multiple lines of text)
  • Integer - Whole numbers only
  • Decimal - Numbers with decimal points
  • List Item - A dropdown where workers select one option from a predefined list
  • Multi List Item - A list where workers can select multiple options
  • Photo - Upload a photo as evidence or documentation
  • Signature - Capture a digital signature
  • Datetime - Allows selection of both date and time
  • Date - Date entry only
  • Barcode - Scan or enter a barcode value
  • Information - Display-only text that provides information to workers (not a question to answer)

Understanding Clonable Options

The Clonable field controls whether a question can be duplicated:

  • Checked - The question will be cloned when the procedure is cloned
  • Unchecked - The question will not be cloned
  • Disable - The question is disabled and won't appear in cloned procedures
  • Require - The question is required and must be answered in cloned procedures

Editing a Procedure Template

To edit a draft template:

  1. Filter by Draft status
  2. Click on the template name to open it
  3. You can now modify the template structure, fields, and settings

To create a draft of a published template:

  1. Find the published template in the list
  2. Click on the template name to open it
  3. Click Edit near the top of the screen
  4. Confirm that you want to create a draft version
  5. Navigate back to the Procedures list and filter for Draft status to find your new draft

Note: Creating a draft from a published template may take a moment to process. If you don't see it in your Draft list immediately, wait and refresh.

Publishing a Procedure Template

Once you've finished building or editing a draft template and it's ready for use:

  1. Open the draft template
  2. Review all sections, fields, and configurations
  3. Click Publish

The template is now published and available for users to select when creating procedures.

Deleting a Procedure Template

To delete a template:

  1. Find the template in the list
  2. Click the delete or trash icon
  3. Confirm the deletion when prompted

Important: You cannot delete a published template that has active procedures created from it. You must first archive or delete those procedures, or unpublish the template.


Checklists

Checklists in the Process Administration section are inspection and verification templates used within procedures. These checklists define what questions or checks must be completed during procedure execution—for example, safety checks before starting hot work, or verification steps during equipment startup.

Accessing the Checklists Page

From the main navigation, select Administration, then click Checklists. You'll see all procedure checklists in your system organized in a table.

Key Controls

New (+) - Create a new checklist template.

Published / Draft - Toggle between viewing published checklists (live and available to users) and draft checklists (still being edited).

Search Name - Find a specific checklist by entering its name.

Manage Question Types - Access question type settings to create or modify the types of questions available for use in checklists.

Checklist List Columns

The Checklists table displays key information about each checklist:

  • ID - Unique identifier for the checklist
  • Name - The checklist title (clickable to open for viewing or editing)
  • Status - Whether the checklist is in Draft or Published state
  • Created - The date the checklist was created

Creating a New Checklist

To create a new checklist:

  1. Click the New (+) button
  2. Enter the checklist name—this should describe what will be verified (e.g., "Hot Work Safety Checks," "LOTO Verification Steps," "Pre-Start Equipment Review")
  3. Click Save

You can now add sections and questions to build out your checklist.

Editing a Checklist

To edit a draft checklist:

  1. Filter by Draft status
  2. Click on the checklist name to open it
  3. You can now add and modify sections and questions

To create a draft of a published checklist:

  1. Find the published checklist in the list
  2. Click on the checklist name to open it
  3. Click Edit near the top of the screen
  4. Confirm that you want to create a draft version
  5. Navigate back to the Checklists list and filter for Draft status to find your new draft

Note: Creating a draft from a published checklist may take a moment to process. If you don't see it in your Draft list immediately, wait and refresh.

Publishing a Checklist

Once you've finished building or editing a draft checklist and it's ready for use:

  1. Open the draft checklist
  2. Review all sections and questions
  3. Click Publish

The checklist is now published and available for use in procedures.


Building Your Checklist

When you create a new checklist or open an existing draft, you enter the Checklist Editor where you can add sections, questions, help information, and recommendations. You can also set default templates that pre-fill certain values.

Checklist Editor Interface

The checklist editor has two main tabs:

  • Info - Where you build the checklist structure (sections, questions, help, recommendations)
  • Conditionals - Where you set up logic-based rules that control question behavior based on worker responses

Adding Sections

Sections help organize your checklist into manageable groups. For example, a LOTO Safety Checklist might have sections like "Pre-Work Verification," "Energy Isolation Steps," and "Post-Work Checks."

To add a section:

  1. Click (+) Section
  2. Enter the section name
  3. Click Create

The section appears in your checklist, ready for questions to be added.

Adding Questions to a Section

Questions are the individual items that workers will answer when executing the procedure.

To add a question:

  1. Find the section where you want to add the question
  2. Click Open next to the section
  3. Click Add Question
  4. In the question form, fill in:
    * Question Text - The question workers will see (e.g., "Are all energy sources identified and documented?")
    * Question Type - Select from the available question types (see Managing Question Types section)
    * Required - Check this box if the question must be answered before the checklist can be completed
    * Help Text (optional) - Additional guidance for answering the question
    * Help Photo (optional) - Upload an image to provide visual guidance
  5. Click Save

Pro Tip: You must save the question first before you can assign recommendations to it.

Adding Help Information

Help information provides supplemental guidance at different levels of your checklist. You can add help at the question level, section level, or checklist level.

To add help to a question:

  1. While creating or editing a question, fill in the Help Text field
  2. (Optional) Upload a Help Photo to show visual examples
  3. Click Save

To add help to a section:

  1. Click Edit next to the section
  2. Click the (+) icon to add help information
  3. Enter your help content (text, links, or upload images)
  4. Click Save

To add help to the entire checklist:

  1. At the top of the checklist editor, look for Add Help
  2. Click it and add checklist-level guidance
  3. Click Save

Adding Recommendations

Recommendations are suggested actions or corrective measures that appear when workers encounter specific situations. You can link recommendations at the question level, section level, or checklist level.

To add recommendations to a question:

  1. Save the question first (if newly created)
  2. Click Edit next to the saved question
  3. Click Add Recommendations
  4. Select the recommendations you want to associate with this question
  5. Click Save

To add recommendations to a section:

  1. Click Edit next to the section
  2. Click Add Recommendations
  3. Select the recommendations you want to apply to this section
  4. Click Save

Pro Tip: You must save the section first and click Edit again before you can assign recommendations.

To add recommendations to the entire checklist:

  1. At the top of the checklist editor, look for Add Recommendations
  2. Click it and select the recommendations you want to link
  3. Click Save

Recommendation Hierarchy: Recommendations are available at every level beneath where they're assigned. A recommendation assigned at the checklist level is available for every question in the checklist. A recommendation assigned at the section level is available for every question in that section. A recommendation assigned at the question level is available only for that specific question.

Setting a Default Template

If your organization has procedure templates configured, you can set a default template for the checklist. This pre-fills certain values when the checklist is used.

To set a default template:

  1. At the top of the checklist editor, look for Set Default Template
  2. Select the template you want to use
  3. Click Save

Managing Question Types

Click Manage Question Types to access the question type configuration interface. This allows you to create or modify the types of questions that can be used in procedure checklists.

The Manage Question Types interface has two main sections:

Question Types List (left side) - Shows all existing question types with their names and underlying data types (e.g., datetime, textarea, listitem, signature).

Configuration Panel (right side) - Where you create new question types or edit existing ones.

Creating a New Question Type

To create a new question type:

  1. Click the New (+) button
  2. Enter a Question Type Name (e.g., "Yes No NA," "Safe Unsafe," "Equipment Condition")
  3. Select a Data Type from the dropdown - this determines the underlying format (datetime, textarea, listitem, signature, etc.)
  4. Configure Question Workflow Options by checking the relevant boxes (see below)
  5. Click Save

Question Workflow Options

When creating or editing a question type, you can customize how questions of this type behave when workers answer them during procedure execution:

  • Hide Photo button - Removes the option to attach photos when answering this question
  • Hide Note button - Removes the option to add notes when answering this question
  • Hide Exception button - Prevents workers from creating exceptions from this question
  • Hide Exception button when zero Exceptions - Only shows the Exception button if exceptions already exist for this question
  • Disallow Exception photos - Prevents workers from attaching photos to exceptions created from this question
  • Hide Exception Classifications - Removes classification tagging options from exceptions created from this question
  • Disallow freeform Exception text - Prevents workers from entering custom text in exceptions created from this question
  • Ignore default Exception Priority - Exceptions created from this question won't inherit a default priority level
  • Hide Recommendations Library - Removes access to the recommendations library when answering this question
  • Default Due Date Offset - Automatically sets exception due dates to a specified number of days from creation (e.g., "5 days" means exceptions are due 5 days after being created)

Editing a Question Type

To edit an existing question type:

  1. Click Manage Question Types
  2. Find the question type in the list on the left
  3. Click the Edit link next to it
  4. Make your desired changes
  5. Click Save

Deleting a Question Type

To delete a question type, find it in the list and follow the deletion prompts. Note that you cannot delete a question type that is currently in use by published checklists.


Classifications

Classifications are data tags used to label and organize exceptions, inspections, and procedure data for reporting and analysis. By tagging data with classifications, you can filter and group information in reports to identify trends, measure performance, and analyze procedure-related issues.

Accessing the Classifications Page

From the main navigation, select Administration, then click Classifications. You'll see all classification categories in your system.

The Classifications page displays a list of all classifications in your system. When you click Values next to a classification, the page displays a split-screen view with classifications on the left and that classification's values on the right.

Key Controls

  • New (+) - Create a new classification.
  • Values - Click next to any classification to view and manage its values.
  • Edit - Click to edit a classification name or a value name.
  • Delete (trash icon) - Click to delete a classification or value.

Understanding Classifications

A classification is a category (e.g., "CalOSHA Designation," "Incident Type," "Equipment Category"), and each classification contains multiple values (e.g., for "CalOSHA Designation," values might be "General Industry," "Construction," "Maritime").

When users create exceptions or complete procedures, they can tag their data with classification values. Later, you can run reports and filter by these classifications to analyze patterns.

Understanding Single Select vs. Multi Select

When creating a classification, you choose whether it's single-select or multi-select:

Single-select Classifications - Users can only assign one value from this classification to a record. Use this for properties that can only have one state at a time (e.g., "Priority Level: High, Medium, or Low").

Multi-select Classifications - Users can assign multiple values from this classification to a record. Use this when a record might have multiple tags (e.g., "Hazards Present: Chemical, Electrical, Fall Risk" - all could apply to the same procedure).

Creating a New Classification

To create a new classification category:

  1. Click the New (+) button
  2. Enter a Name for the classification (e.g., "Work Type," "Hazard Category," "Permit Type")
  3. Select a Type:
    * Single-select - Users can only select one value from this classification (e.g., "Priority Level: High, Medium, or Low")
    * Multi-select - Users can select multiple values from this classification (e.g., "Hazards Present: Chemical, Electrical, Fall Risk")
  4. Click Create

The classification is now created. You can now add values to it.

Adding Values to a Classification

Once you've created a classification category, you need to add the specific values that users can select:

  1. Find the classification in the left panel
  2. Click the Values link next to it - the right panel will display the values interface
  3. In the right panel, click New (+) to add a new value
  4. Enter the value name (e.g., for "Work Type," you might add "Hot Work," "Confined Space," "Excavation")
  5. Click Create
  6. Repeat to add all needed values

The values now appear in the right panel and are available for users to select when tagging exceptions, procedures, or inspections.

Editing a Classification

To edit an existing classification:

  1. Find the classification in the list
  2. Click the Edit link on the right side of the row
  3. Change the classification name if needed
  4. Click Update

Editing Classification Values

To edit the values within a classification:

  1. Click the Values link next to the classification
  2. Click Edit next to the value you want to change
  3. Update the value name
  4. Click Update

Deleting a Classification or Value

To delete a classification or value:

  1. Find the item in the list
  2. Click the delete or trash icon
  3. Confirm the deletion when prompted

Recommendations

Recommendations are pre-written suggestions or corrective actions that can be automatically or manually assigned to exceptions generated during procedure execution. When an issue is identified during a procedure (e.g., a failed safety check, a missing lockout device), users can select from a library of recommendations rather than typing corrective actions from scratch.

Accessing the Recommendations Page

From the main navigation, select Administration, then click Recommendations. You'll see all recommendations in your system organized in a table.

Key Controls

New (+) - Create a new recommendation.

Bulk Actions - Perform actions on multiple selected recommendations:

  • Apply Classification - Add a classification to selected recommendations
  • Remove Classification - Remove a classification from selected recommendations
  • Apply Group - Add selected recommendations to a group
  • Remove Group - Remove selected recommendations from a group

Search Title - Find a specific recommendation by entering keywords from its title.

Filters - Filter recommendations by classifications or groups.

Manage Groups - Access recommendation group settings to organize recommendations into categories.

Recommendation List Columns

The Recommendations table displays key information about each recommendation:

  • ID - Unique identifier for the recommendation
  • Title - The recommendation title (clickable to open for viewing or editing)
  • Text - The full recommendation text describing the corrective action
  • Classifications - Data tags associated with this recommendation for filtering and reporting
  • Groups - The recommendation groups this item belongs to

All columns are searchable and filterable—click on any column header to search or filter by that field.

Creating a New Recommendation

To create a new recommendation:

  1. Click the New (+) button
  2. Enter a Title - A short summary of the recommendation (e.g., "Replace worn lockout device," "Complete additional safety training")
  3. Enter the Text - The full recommendation text that will appear when this recommendation is selected
  4. Choose if it's Editable:
    * Editable \= True - Workers can modify the recommendation text if needed
    * Editable \= False - Workers must use the recommendation exactly as written
  5. (Optional) Assign Classifications - Tag the recommendation with classification values to make it easier to filter and find
  6. (Optional) Assign Groups - Add the recommendation to one or more recommendation groups
  7. Click Create

The recommendation is now available for users to select when creating or updating exceptions.

Editing a Recommendation

To edit an existing recommendation:

  1. Find the recommendation in the list
  2. Click on the recommendation Title to open it
  3. Make your desired changes to the title, text, editable setting, classifications, or groups
  4. Click Update

Using Bulk Actions

Bulk Actions allow you to apply or remove classifications and groups from multiple recommendations at once.

To use Bulk Actions:

  1. Select the checkboxes next to the recommendations you want to modify
  2. Click Bulk Actions
  3. Choose an action:
    * Apply Classification - Add a classification to selected recommendations
    * Remove Classification - Remove a classification from selected recommendations
    * Apply Group - Add selected recommendations to a group
    * Remove Group - Remove selected recommendations from a group
  4. Follow the prompts to complete the action

Managing Recommendation Groups

Recommendation groups allow you to organize recommendations into categories (e.g., "Equipment Maintenance," "Training," "PPE," "Administrative Controls").

To manage groups:

  1. Click Manage Groups
  2. Click New (+) to create a new group
  3. Enter a group name
  4. Click Create

You can now assign recommendations to this group when creating or editing them.

Deleting a Recommendation

To delete a recommendation:

  1. Find the recommendation in the list
  2. Click the trash icon on the right side of the row
  3. Confirm the deletion when prompted

Dynamic List Types

Dynamic Lists are sequential task lists embedded within procedures that must be completed in a specific order. Unlike regular checklist questions, Dynamic Lists ensure workers address each item in sequence—for example, isolating energy sources step-by-step in a LOTO procedure, or verifying atmospheric conditions in order during confined space entry.

Dynamic List Types define the categories of items that can appear in Dynamic Lists. These types are available system-wide and can be used when creating or executing procedures that include Dynamic Lists. Each Dynamic List Type can represent energy sources, authorized personnel, equipment, chemicals, hazards, or any other category that needs sequential tracking.

Accessing the Dynamic List Types Page

From the main navigation, select Administration, then click Dynamic Types. You'll see all Dynamic List Types in your system.

New (+) - Create a new Dynamic List Type.

The Dynamic List Types list displays:

  • Lists - The name of the Dynamic List Type (e.g., "Electrical energy," "Chemical," "Compressed Air/Gas," "Authorized Person")
  • Edit - A link to edit the type (clickable)

Understanding Dynamic List Types

Dynamic List Types represent categories of items that workers must address during procedure execution. When an administrator creates a procedure template that includes a Dynamic List, they select which Dynamic List Types are relevant for that procedure. The flexibility of Dynamic List Types allows them to be used across many different procedure types:

LOTO/Energy Isolation Examples:

  • "Electrical energy," "Chemical energy," "Compressed Air/Gas," "Hydraulic," "Thermal"

Confined Space Entry Examples:

  • "Atmospheric Monitoring," "Chemical," "Biological," "Confined Space"

Equipment/Material Handling Examples:

  • "Compressed Gas Cylinder," "Chemical," "Combustibles"

Environmental/Safety Checks:

  • "Environmental," "Ergonomics," "Atmospheric Monitoring"

Each Dynamic Type can have custom attributes (configured in the Attributes/Lists section) that define what information must be captured for that item type—such as voltage for electrical sources, concentration levels for chemicals, or pressure ratings for compressed air.

Pro Tip: Dynamic List Types added in this section need to be added individually to procedure templates in order to be available when creating a procedure. See the Procedures section for details on adding Dynamic List Types to templates.

Creating a New Dynamic List Type

To create a new Dynamic List Type:

  1. Click the New (+) button
  2. Enter a Name for the type (e.g., "Electrical Energy," "Hydraulic Energy," "Compressed Air/Gas")
  3. (Optional) Select an Attribute Group - This defines the custom fields that Dynamic List items of this type will have
  4. (Optional) Select an Equipment List - You can link to equipment lists created in the Admin Lists page
  5. (Optional) Select Measurements - Add types of measurements to this list type; each item added will then have a measurements section
  6. Click Create

The Dynamic List Type is now created and available for use in Dynamic Lists.

Editing a Dynamic List Type

To edit an existing Dynamic List Type:

  1. Find the type in the list
  2. Click the Edit link on the right side of the row
  3. Change the type name if needed
  4. Click Update

Deleting a Dynamic List Type

To delete a Dynamic List Type:

  1. Find the type in the list
  2. Click the delete or trash icon
  3. Confirm the deletion when prompted

Important: You cannot delete a Dynamic List Type that is currently in use by active Dynamic Lists. You must first remove or reassign those items.


Dynamic List Status

Dynamic List Status values define the states that can be assigned to Dynamic List items when creating or editing a Dynamic List. You can add a status to a list item when creating or editing a list. These statuses allow workers to track the state of each energy source or equipment as they progress through isolation and re-energization sequences.

Accessing the Dynamic List Status Page

From the main navigation, select Administration, then click Dynamic List Status. You'll see all available status values in your system.

New (+) - Create a new status value.

  • Name - The status name (e.g., "Energy Isolated," "Energy Reversed/Activated," "On," "Off")
  • Edit - A link to edit the status (clickable)

Understanding Dynamic List Statuses

As workers execute procedures that include Dynamic Lists (e.g., LOTO sequences), they assign statuses to each list item to indicate its current state. This creates an auditable record of which energy sources have been isolated, verified, and re-energized.

Example: A LOTO procedure with an electrical panel isolation step:

  1. Initial state might be blank or "On"
  2. Worker de-energizes the panel and applies lockout device (status changes to "Energy Isolated")
  3. After work is complete, worker removes lockout and re-energizes (status changes to "Energy Reversed/Activated")

Common status values include:

  • Energy Isolated - Energy source has been shut down and locked out
  • Energy Reversed/Activated - Energy source has been re-energized after work completion
  • On / Off - Simple binary states for equipment or energy sources
  • Yes / No - General confirmation statuses

Creating a New Status

To create a new status:

  1. Click the New (+) button
  2. Enter a Name (e.g., "Energy Isolated," "Energy Reversed / Activated," "Test Complete")
  3. Click Create

The status is now available for use in Dynamic Lists.

Editing a Status

To edit an existing status:

  1. Find the status in the list
  2. Click the Edit link on the right side of the row
  3. Change the status name if needed
  4. Click Update

Deleting a Status

To delete a status:

  1. Find the status in the list
  2. Click the delete or trash icon
  3. Confirm the deletion when prompted

Attributes/Lists

The Attributes/Lists section allows you to define custom fields (attributes) that are associated with specific Dynamic List Types. Attribute Groups define the field sets that appear when creating or editing Dynamic List items, allowing you to capture type-specific information.

Accessing the Attributes/Lists Page

From the main navigation, select Administration, then click Attributes/Lists. You'll see two tabs: Attribute Groups and Lists.

Key Controls

New (+) - Create a new attribute group.

Attribute Groups / Lists - Toggle between the two tabs to manage attribute groups or view configured lists.

Understanding Attribute Groups

Attribute Groups define sets of custom fields associated with specific Dynamic List Types. When a worker creates or edits a Dynamic List item of a particular type, the system displays the attributes from the corresponding attribute group.

Example:

  • You have a Dynamic List Type called "Electrical energy"
  • You create an Attribute Group called "electrical" with attributes: "Voltage," "Panel Location," "Lockout Device Type"
  • When a worker adds an "Electrical energy" item to a Dynamic List, they see those three fields and can fill them in

Attribute Group List Columns

The Attribute Groups table displays:

  • Attribute Group - The name of the attribute group
  • Description - A description of what this attribute group is used for
  • Attributes - A link to view and manage the specific attributes within this group
  • Edit - A link to edit the group name and description

Creating a New Attribute Group

To create a new attribute group:

  1. Click the New (+) button
  2. Enter a Name (e.g., "electrical," "chemical," "hydraulic")
  3. Enter a Description (optional) - Explain what type of Dynamic List items this group applies to
  4. Click Create

The attribute group is now created and ready for you to add attributes to it.

Adding Attributes to a Group

Once you've created an attribute group, you add specific fields (attributes) to it. When you click the Attributes link next to a group, a split-screen view appears with attribute groups on the left and that group's attributes on the right.

To add a new attribute:

  1. Find the attribute group in the left panel
  2. Click the Attributes link next to it - the right panel displays that group's attributes
  3. In the right panel, click New (+)
  4. In the Create Record dialog, enter:
    * Label - The field name that will appear to users (e.g., "Voltage," "Panel Location")
    * Type - Select the data type from the dropdown:
    • Boolean - True/False checkbox
    • Datetime - Date and time picker
    • Decimal - Decimal numbers
    • Integer - Whole numbers
    • List Select - Dropdown list (single selection)
    • List Multiselect - List with multiple selections allowed
    • Text - Single-line text input field
    • User - User selection field
    • Photo - Photo upload field
    • Signature - Signature capture field
    • List (appears if you select List Select or List Multiselect) - Choose which list provides the options
    • Required - Select True or False to indicate if this field must be filled in
  5. Click Create

The attribute now appears in the group's attribute list and will be available when creating Dynamic List items of the corresponding type.

Editing an Attribute Group

To edit an attribute group's name or description:

  1. Find the group in the list
  2. Click the Edit link on the right side of the row
  3. Change the name or description if needed
  4. Click Update

Editing an Attribute

To edit an existing attribute within a group:

  1. Click the Attributes link next to the group
  2. In the right panel, find the attribute you want to edit
  3. Click the Edit link next to that attribute
  4. Update the label, type, list, or required setting
  5. Click Update

Deleting an Attribute Group

To delete an attribute group:

  1. Find the group in the list
  2. Click the delete or trash icon
  3. Confirm the deletion when prompted

Understanding the Lists Tab

The Lists tab (the second tab in this section) displays the actual Dynamic Lists that have been configured in the system, showing how attribute groups are being used in practice.

This view is primarily informational and allows administrators to see which Dynamic Lists exist and how they're structured.
